We are seeking a dynamic and experienced Project Specialist - Furniture, who will play an integral role in supporting the planning, coordination, and implementation of furniture activities throughout all stages of the South Niagara Hospital Site. Working closely with the project teams, user groups, vendors, and consultants, you will help ensure furniture planning, design coordination, procurement, and installation activities are delivered effectively an aligned with project timelines and operational requirements.
Your Role:
As the Project Specialist - Furniture, you will:
o Coordinate furniture planning and project activities across design, procurement, and implementation phases of the South Niagara Hospital project
o Support furniture selection, standardization, and procurement activities in collaboration with the Director, FFE & Interiors
o Collaborate with equipment planning teams to ensure coordination between furniture and equipment within clinical and operational spaces
o Facilitate user group engagement by supporting specification development, preparing materials, documenting meetings, and coordinating approvals
o Lead procurement activities for general equipment and support RFP processes, evaluations, and vendor selection in partnership with Procurement teams
o Provide technical expertise related to furniture planning and clinical space design considerations
o Review furniture submittals, shop drawings, and vendor documentation in collaboration with design and construction teams
o Coordinate with vendors and Project Co to consolidate and manage furniture shop drawings and related deliverables
o Support commissioning, move, training, and operational readiness activities related to furniture implementation
o Participate in deficiency reviews and support resolution tracking
o Maintain organized documentation, manuals, and project records within centralized repositories
o Assist in development of furniture training materials for Niagara Health users in collaboration with Operational Readiness teams
o Support furniture decommissioning activities as required
o Participate in project meetings with internal teams, vendors, consultants, and other affected parties
o Support overall project goals and perform additional project-related duties as assigned
Who You Are:
We are looking for an organized and collaborative professional who:
o Brings strong knowledge of furniture planning and interior design within complex project environments
o Understands the functional and operational impacts of furniture design in healthcare or clinical settings
o Is highly detail-oriented and able to manage multiple priorities within fast-paced project timelines
o Communicates effectively and builds positive working relationships with user groups, vendors, and multidisciplinary teams
o Demonstrates strong facilitation, coordination, and organizational skills
o Is comfortable supporting user engagement processes and consensus-building discussions
o Works independently while contributing effectively as part of a collaborative project team
o Maintains professionalism, confidentiality, and accountability in all aspects of work
Qualifications:
o Diploma or Degree in Interior Design
o Minimum four (4) years of experience in interior design or furniture planning
o Healthcare or hospital experience preferred; hospital project experience considered an asset
o Registered or working toward professional registration (ARIDO and/or IDC membership preferred)
o Demonstrated knowledge of furniture planning and design impacts, particularly in clinical environments
o Understanding of Broader Public Sector procurement guidelines considered an asset
o Experience supporting procurement processes, vendor coordination, and user group engagement
o Strong interpersonal, communication, and organizational skills
o Demonstrated ability to manage multiple project activities, meet deadlines, and adapt to change
o Experience facilitating or supporting user group meetings
o Strong written documentation skills
o Proficiency with Microsoft Office Suite and Bluebeam
o Working knowledge of AutoCAD and Revit
o Ability to maintain confidentiality and work effectively in fast-paced environments
o Flexible, self-directed, and able to work both independently and collaboratively
o Excellent work performance and attendance record required
