POSITION OBJECTIVE:
The administrative assistant will be responsible for supporting medical students and residents as well as Physician Assistant (PA) students in hospital. Duties include site orientation, development and circulation of on call schedules, booking on call rooms, amendments to clerkship schedules, support of teaching faculty in conjunction with the regional administrative assistants, administrative support of the research lead for Niagara Health and Niagara Regional Campus, room bookings, support of AV by booking rooms, scheduling video conference events and providing support on the day of scheduled events, provision of all necessary equipment such as pagers, dictation instruction, Meditech/PACS training, lockers, accommodation, telephones, computers, printer and internet access, hospital tour, guidance for student incidents in process, completion of documentation and notification of McMaster as required. The assistant will also be responsible for booking of rooms and invigilation of clerkship exams. The assistant is responsible for tracking of Medical Trainee Data and reconciliation of data for submission to the Ministry of Health. To support inter-professional education the position will liaise with the coordinator responsible for allied learner placements such as Nursing, Occupational Therapy, Physical Therapy etc. Travel between sites will be required.
The position will also support:
1. Ongoing improvement and organization of simulation equipment
2. The development of an NH student placement data base
3. Ongoing quality improvement initiatives, and
4. Ongoing improvement of student support such as intranet site setup and maintenance, instructor handouts, etc.
The position will be accountable to the NH Manager of Medical Affairs and will have a reporting relationship to the McMaster Niagara Regional Campus.
QUALIFICATIONS:
o Certificate or Diploma in Office Administration or equivalent in related experience
o Recent office administration experience
o Knowledge of distributed medical education and the relationship between community hospitals and McMaster University would be an asset
o Knowledge of Meditech and IntelliSpace (ISP) Perinatal preferred
o Knowledge of, or experience using, MedSIS and Medportal preferred
o Knowledge of, or experience scheduling complex medical education rotations including call shifts, requests for time off (RTOs), clinical teaching units (CTUs), and layered learning opportunities would be an asset
o Knowledge of Community Teaching Hospital Affiliation Agreements, Undergraduate Medical Education Accreditation Standards & Elements, Postgraduate Medical Education Accreditation Standards & Elements, and the Professional Association of Residents of Ontario (PARO) Contract would be an asset
o Knowledge of the differences in education program and rotation requirements between medical students, physician assistant students, medical residents, and medical fellows
o Working knowledge of all Microsoft applications (i.e. Word, Excel, Power Point, Outlook and Access)
o Knowledge of process for conferencing calls, room booking, video conferences via Ontario Telehealth Network (OTN), catering and article/information research.
o Knowledge of medical based simulation equipment would be an asset
o Demonstrated ability to handle a large and diversified workload often with rapidly changing priorities and challenging deadlines.
o Excellent written communication, proofreading and editing skills.
o Excellent oral communication and interpersonal/customer service skills and problem solving ability.
o Superior organizational skills
o Ability to work effectively within a multi-disciplinary team.
o Flexible, self-directed and able to prioritize and work effectively with minimal supervision.
o High degree of diplomacy and tact when dealing with others.
o Consistent and regular attendance required.
